Standard Operating Procedure for entry and exit of personnel in warehouse (of Pharmaceuticals)


1. Purpose

To provide a standard operating procedure for entry and exit of personnel in the warehouse.

2. Scope

The scope of this SOP is applicable for the entry and exit of personnel in the warehouse at [company name].

3. Responsibility

Every individual who accesses the warehouse: To follow the entry and exit procedure

Warehouse Supervisor: Ensure availability of gowns, disinfectants, PPEs to enable entry into the warehouse as per the procedure. All the requirements should be available at any given point in time in the change rooms.

Warehouse Head: To monitor the procedure compliance

5. Procedure

5.1. Only authorized personnel can access the warehouse entry gate using a biometric system/ access card system.
5.2. Any visitor or other employee who wants to visit a warehouse without authorization shall be accompanied by authorized individuals only.
5.3. Before entering the warehouse, restricted accessories should be removed and kept in the individual employee lockers provided in the first change room. The accessories include ornament/ jewelry, mobile, wristwatch, camera, etc. For visitors, visitor lockers are provided. Visitors can put belongings inside the locker and key of the locker to be maintained by visitors until they exit from the warehouse.
5.4 Entry procedure for employees:
5.4.1 To enter the warehouse, use the biometric access control. Once the system grants access, open the door and enter into the first change room.

5.4.2 After entering the change room, remove the street clothing (removal of street clothing is decided by an organization depending on the operations. Some organizations do it, and some do not), ornaments (prohibited accessories), and footwear. Keep it in the given lockers.
5.4.3 Wear the hair net. Enter into the next change room by crossing over the bench. Wash the hand and legs. Disinfect hands using the provided disinfectant.
5.4.4 Enter into the third change room. Wear the factory gowns, safety shoes, and PPEs. Disinfect the hands and enter into the warehouse.
5.4.5 Depending on the organization’s policy, different departments and sections within the department may have color-coding of the factory gowns.
5.4.6 Male and Female employees may have different gowning or entry rooms depending on the policy and process of gowning.
5.5 Entry procedure for visitors:
5.5.1 To enter the warehouse, an authorized individual with access to the biometric access control will escort the visitor. Once the system grants access, open the door and enter into the first change room.
5.5.2 Wear the shoe cover and hair net.
5.5.3 Enter the next change room by crossing over the bench. Wash the hand and then disinfect it using the provided disinfectant.
5.5.4 Enter into the third change room. Wear the factory-provided over gowns and other PPEs. Disinfect the hands and enter into the warehouse.
5.6 Exit procedure for employees:
5.6.1 Enter into the third change room and remove the factory-provided gowns, safety shoes, and PPEs.
5.6.2 Go from the first change room through the second change room. Crossover the bench.
5.6.3 Remove the hairnet and wear street cloth, footwear and collect other belongings.
5.6.4 Exit from the door using a biometric system.
5.6 Exit procedure for visitors:
5.6.1 Enter into the third change room and remove the factory-provided over gowns and PPEs.
5.6.2 Go from the first change room through the second change room. Crossover the bench, and while crossing over, remove the shoe cover one by one.
5.6.3 Remove the hairnet and wear street cloth. Collect the belongings from the locker as applicable.
5.6.4 Exit from the door using a biometric system.
5.7 Fixed jewelry, ornaments which cannot be taken out from the body, appropriate covering shall be done. For example, if a ring cannot be taken out from the finger, hand gloves can be used.
5.8. If a biometric system is under breakdown, manual control shall be used to access the area in a controlled manner. That may be the usage of lock and key mechanism and entry and exit log of the warehouse.
5.9 In case of emergency, exit can be done from the warehouse using the nearest emergency exit by opening the door using a push bar.
5.10 Pictorials shall be displayed in the change rooms to easily understanding of gowning procedure by employees and visitors.
